The Events Manager works closely with all the functional groups associated with events to accomplish the goals of the company.
The position involves contact and communication with various departments within North America and Worldwide Headquarters in Innsbruck, Austria.
Supervise Event Coordinators in their daily tasks, projects, and provide leadership and guidance for all applicable events/projects.
Planning for and development of the annual corporate events budget across sales regions and cost centers. Communication of said budget across sales regions and cost centers. Managing events spending to include staying within budget, alerting senior management to potential over-runs or wasteful spending, and identifying opportunities to improve the efficiency and effectiveness of event spending.
Participate as an active part of the Marketing Team in all activities such as team meetings, reviewing materials and providing input, launch activities and other team projects.
Logistic planning and coordination of special activities and events, workshops, and training courses, which includes: meeting space, catering, audio-visual, hotel, travel, entertainment, and on-site set-up, implementation, and breakdown.
Support members of Sales, Marketing, Research, Education, etc in accomplishing their goals by providing data and information about tradeshows and conferences in which they are working, as well as comparative data concerning domestic and foreign conferences and workshops.
Plans and coordinates the logistical aspects of account management/sales meetings, as well as regional clinical forums.
Responsible for events budgeting and cost analysis of the corporate event spending vs. Budget.
Handling of customer relations and creating customer loyalty by catering to special needs or requests.
Work directly with personnel who will be attending events to ensure proper training on professional conference protocol and etiquette.
Work directly with medical/research professionals invited to meetings to coordinate issues necessary for attendance (including travel, written agreements, center notifications/approvals, special arrangements, etc.).
Maintain annual conference schedule and calendar of events to ensure proper coordination with North America personnel and International Offices.
Maintain all documentation relating to US sponsored meetings and conferences, for budgetary, accounting, regulatory and customer relationship management purposes.
Ensure necessary documentation is obtained for all customer travel in accordance with Federal Sunshine and State Aggregate Spend laws as it pertains to company coverage of travel expenses.
Participate in and contribute to company audits and quality assurance activities.
Bachelor`s degree or greater in an area relevant to the execution of professional meetings and conferences.
Certified Meeting Professional preferred.
Overnight and weekend travel, both North America and International, required.
Microsoft Office (Excel, Access, Word, Outlook, PowerPoint) computer and database skills needed.
Ability to complete work with minima supervisor and in a timely manner.
Ability to interact courteously and professionally during interactions with customers or the public at large while representing the company.
Strong telephone, oral and written communication skills.
Proficiency in policy and regulatory requirements relating to interactions with healthcare providers.
Ability to handle difficult situations with customers (medical/research professionals) with tact, diplomacy, and clarity in order to achieve the desired outcome.
